Who are we?

We are Folio Information Management Limited Company Registration 05925937 trading as Crossing Frontiers. Anne K. Scott is registered on our behalf as a Data Controller with the Office of the Information Commissioner under registration number ZA464257. Anne is responsible for the data control of any personal data that you provide to us and is also our nominated Data Protection Officer.

Why is this notice important?

During our work together, it will be necessary to hold some personal data (on paper or electronically) about you. Your confidentiality is important to us.

How we collect information from you and what information we collect

We collect may collect information in person or by way of written communication e.g. email:
• From your coaching/training application
• From your coaching/consultancy participation agreement
• From your sign-up to newsletters or downloads
• From your sign-up to our Social Media accounts e.g. Twitter, Facebook etc

We collect the minimum amount of data required for our work together which may include but not limited to:
• name, e-mail address, telephone number, Date of Birth, address, nationality, next of kin, skype address
• Payment Card details

Why we need this information about you and how it will be used
We need your information and will use it to:
• Undertake and perform our obligations and duties to you in accordance with the terms of our working agreement;
• Enable us to supply you with the services and information which you have requested;
• Analyse the information we collect so that we can administer, support, improve and develop our business and the services we offer;
• Contact you to send you details of any changes to our services which may affect you; and
• Carry out all other purposes consistent with the proper performance of our operations and business.

Sharing of Your Information
The information you provide to us will be treated by us as confidential and will be processed only by us or third parties, acting on our behalf, within the UK/EEA or GDPR compliant locations. We may disclose your information to other third parties who act for us for the purposes set out in this notice or for purposes approved by you, including the following:
• If we enter into a joint venture with or merge with a business entity, your information may be disclosed to our new business partners or owners;
• To gain services that will support you in your development if you have given consent in your working agreement.

Unless required to do so by law, we will not otherwise share, sell or distribute any of the information you provide to us without your consent.

Location
Your information will only be stored in the UK, EEA or GDPR compliant location.

Security
When you give us information we take steps to make sure that your personal information is kept secure and safe.
• On paper – in a secure office
• Electronically – on a computer or service with a passcode known only to us
• Stripe Online Payment System – card details are not retained by or accessible to us

How long we will keep your information
We will only hold your personal data for as long as is necessary for our work together, or as required by law (we may be legally required to hold some types of information), or as set out in any relevant agreement we have with you.

Your Rights
You have the right at any time to:
• Ask for a copy of the information about you held by me in my records;
• Require us to correct any inaccuracies in your information;
• Make a request to me to delete what personal data of yours we hold; and
• Object to receiving any marketing communications from us
